In the bustling heart of Lautoka, Fiji, Extra Supermarket franchise has become a beacon of modern retail, embodying convenience and efficiency. As they expanded, so did the complexity of its operations. The challenge is to supporting rapid growth and high transaction volumes with an outdated software system.
The leadership team recognized the need for a robust ERP system centered around a powerful Point of Sale (POS) solution to support their expansion and enhance operational efficiency.

🛒
Slow Checkout Process
Long wait times and transaction errors frustrated customers and slowed down sales.
💼
Disjointed Operations
Lack of integration between departments caused inefficiencies and communication gaps.
🏭
Supply Chain
Delays
Inadequate real-time data access led to delays and inaccuracies in inventory management.

For ExtraPOS, we utilized the Double Diamond Design Process within the Scrum framework. This combination allowed us to thoroughly explore and define the problem space, iteratively develop solutions, and deliver a scalable, user-centric system while remaining agile in our approach. Very briefly, we aimed to uncover the strengths and weaknesses of our current systems at ExtraPOS. This included the checkout process, overall business operations, and supply chain management. Our goal was to understand how well these systems were performing and where improvements were needed. Here is an overview of our research plan and some key insights from the user interviews we conducted.

While we had some initial feedback from cashiers, store managers, and supply chain personnel, it lacked the depth and context necessary to drive meaningful design decisions. However, we were already conducting detailed user interviews and analyzing data to build a comprehensive understanding of our users’ needs and operational challenges.

This Collaborative approach allowed us to:
• Gain Deeper Insights: By asking the right questions and closely observing user behavior, we uncovered key pain points ranged from long checkout times and system inefficiencies to the need for real-time supply chain data access.
• Foster Shared Understanding: Witnessing user challenges firsthand created a shared understanding among stakeholders, ensuring that everyone was aligned on the commitment.
Addressing Limitations:
To ensure success, we:
• Maintained competitive edge with customizable solutions.
• Stayed within time and budget constraints.
• Focused on cost reduction and operational efficiency.
